Human Resources Administrator

We are looking to hire an administrator to manage our volunteer database and contracted referee pay.
Job Description

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The HR Administrator plays a vital role in supporting the human resources functions of the organization with a focus on contractor and volunteer administration.

Qualifications
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 1 year of administrative, clerical, or human resources work experience.
  • High level of verbal, written, interpersonal, and presentation communication skills.
  • Strong attention to detail with the ability to multitask, stay organized, and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, web-based content management systems, and manual filing systems.
  • Complete within 30 days of hire: YMCA cause and culture, program-specific, and safety trainings (provided by YMCA).
  • Follow youth boundaries policies and abuse risk management training.
  • Report suspicious behavior, policy violations, and adhere to mandated abuse reporting and responsibilities.
  • Complete all required abuse prevention training prior to first shift.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Successful clearance of background check.
Essential Functions
  • Manage 1099 contracted officials, including documentation and compliance.
  • Process weekly payroll for contractors in coordination with Finance.
  • Prepare and distribute year-end 1099 forms in compliance with IRS requirements.
  • Ensure child labor laws are consistently followed across youth employment activities.
  • Administer volunteer HRIS and database systems, ensuring data accuracy and integrity.
  • Manage offboarding processes, including termination of system access and documentation.
  • Oversee Praesidium account management for volunteers; pull compliance reports and deactivate accounts as needed.
  • Track coach and volunteer onboarding processes, including background checks, references, and training.
  • Review new hire paperwork (electronic and paper); communicate with hiring managers to ensure complete onboarding files.
  • Troubleshoot issues within ADP, Praesidium, and the volunteer database.
  • Develop SOPs and support the implementation of new HR processes and procedures.
  • Build partnerships with local schools, clubs, and universities to enhance recruitment efforts.
  • Serve as a liaison between HR and program directors; attend quality team (QT) meetings as needed.
  • Represent the organization at recruitment fairs and hiring events, both virtually and in person.
  • Maintain organized and confidential personnel records and identify opportunities for process improvements.
  • Support special projects and complete administrative tasks for HR department.
  • Actively participate in department meetings, trainings, and association events.
  • Perform other duties as assigned.
