The Program Coordinator will provide support with administrative responsibilities and support the overall day-to-day operations for our School-Age Child Care, Childcare and Summer Camp. Responsibilities will include, but not limited to State Licensing requirements and compliance, Subsidy, receivable collection and billing, and scheduling. This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility.
Qualifications
- Experience in early childhood or school-age programs with at least 2 years’ experience
- Ability to relate effectively to diverse groups of people from all social and economic backgrounds.
- Creativity and strong commitment to program quality and participant engagement.
- Familiarity with New Jersey childcare licensing regulations and E-Child Care System, a plus.
- Strong administrative, communication and organizational skills.
- Ability to multi-task, resolve conflicts and create a mission-driven work culture.
- Proficiency in Microsoft Word and Excel.
- Bi-lingual in English and Spanish is a plus.
Essential Functions
- Assist in managing program enrollment, attendance, payroll, scheduling, billing, and other program needs as needed.
- Ensure compliance with NJ State licensing regulations and documentation, YMCA policies, and health and safety standards.
- Ensure all required staff certifications, background checks and trainings remain current.
- Manage and collect receivables, including monitoring outstanding balances and ensuring timely collection of program fees.
- Ensure compliance with childcare subsidy programs (CCAP), including accurate billing set up, documentation including contract compliance and attendance tracking,
- Maintain positive relationships and communication with families, school personnel, and community partners.
- Provide additional operational support to Directors and YMCA staff across school-age and childcare departments as needed, including but not limited to, stepping into ratio and mentoring program staff as needed to ensure continuity of care, appropriate supervision, and smooth daily program operations.
- Serve as an additional point of contact for parents, fostering strong communication and trust.
- Collaborate with School-Age and Child Care Directors in fundraising, enrollment growth, and marketing efforts.
- Support branch events, family engagement activities, and special programs as needed.
- Promote the YMCA mission and uphold the organization’s core values of caring, honesty, respect, and responsibility.
