Job Description

The Summit Area YMCA is seeking a strategic and hands-on Facilities Director to lead all aspects of facility operations across our Association. This senior leadership role reports directly to the COO and is responsible for ensuring our buildings and aquatic facilities are safe, well-maintained, and support an exceptional experience for our members and staff.

This role oversees 4 buildings and 3 aquatic facilities, leading both day-to-day maintenance operations and long-term capital planning. The Facilities Director plays a critical role in protecting our physical assets, advancing sustainability initiatives, and supporting the Y’s mission to strengthen our community.

Qualifications

Education & Experience

  • Bachelor's degree in Facilities Management, Engineering, Business, or a related field; equivalent combination of education and experience considered.
  • Minimum of 5 years of progressively responsible experience in facility management, operations, or a related skilled trade.
  • At least 2 years of supervisory or team leadership experience.
  • Experience managing multi-site or multi-building facility operations strongly preferred.
  • Experience with aquatic or pool facility maintenance preferred.
  • Experience working with nonprofit boards or governance committees preferred.
  • YMCA Team Leader certification preferred.

Knowledge, Skills & Abilities

  • Working knowledge of building systems: HVAC, electrical, plumbing, fire/life safety, access control, and pool mechanical systems.
  • Strong project management skills with demonstrated ability to manage budgets, timelines, and multiple priorities simultaneously.
  • Proficiency with computerized maintenance management systems (CMMS) or work order platforms (e.g., Facility Dude, eMaint, or similar).
  • Proficient in Microsoft Office Suite and standard business software.
  • Excellent communication skills — written, verbal, and interpersonal.
  • Strong problem-solving skills and the ability to exercise sound, independent judgment.
  • Ability to work effectively with diverse groups and individuals at all levels of the organization.
  • Ability to maintain a flexible schedule, including occasional evenings and weekends as needed.

Certifications (Required or to be obtained within 90 days of hire)

  • CPR/AED and First Aid certification
  • Pool Operator certification (CPO or AFO) or ability to obtain within 6 months
  • Boiler certification or ability to obtain within 6 months
Essential Functions

Facility Operations & Maintenance

  • Develop, implement, and manage a comprehensive preventive maintenance program covering HVAC, mechanical, electrical, plumbing, safety systems, and pool/aquatic equipment.
  • Conduct regular building and grounds inspections to identify deficiencies, safety hazards, and maintenance needs; ensure timely resolution.
  • Manage and maintain all building systems, including security system and access control, fire alarm and suppression, building automation, boilers, HVAC, electrical, plumbing, and pool filtration/chemical systems. Oversee maintenance and compliance of indoor and outdoor pools, including chemical management, filtration systems, mechanical equipment, and health department inspections.
  • Oversee daily operations of the work order management system; assign, track, and close work orders efficiently. Manage the receiving and distribution of facility-related deliveries, supplies, and equipment; maintain accurate inventory records and ensure proper storage of tools, materials, and chemicals.
  • Ensure all facilities meet applicable federal, state, and local regulatory requirements, including OSHA, ADA, fire/life safety, and health department standards (including pool regulations).
  • Modernize and professionalize employee work areas to be in compliance with building code and to create a safe and pleasant work environment for our team.
  • Maintain organized records for all equipment, service histories, warranties, SOPs, and compliance documentation.
  • Lead and coordinate emergency response procedures for facility-related incidents, together with Leadership Team; serve as primary on-call contact for urgent maintenance issues. Oversee snow removal operations across all buildings and grounds, including coordination of staff and contracted services to ensure safe and accessible facilities during weather events.
  • Ensure and/or provide periodic safety training for facilities and housekeeping staff on job-specific hazards, equipment operation, and emergency procedures; maintain training records in accordance with OSHA requirements.
  • Oversee company vehicle maintenance and coordinate required inspections and maintenance schedules.
  • Manage distribution and tracking of facility keys and/or access credentials to appropriate staff.

Team Leadership & Development

  • Participate in recruiting, hiring, and training, and supervise and evaluate facilities and housekeeping staff; provide ongoing coaching and professional development.
  • Establish clear performance expectations, conduct regular check-ins, and conduct annual performance reviews.
  • Build a culture of accountability, safety, and continuous improvement within the facilities team.

Capital Planning & Long-Range Facility Strategy

  • Partner with the CEO, COO and CFO on capital budget development, management, and multi-year financial planning for facilities.
  • Develop and manage the annual facilities operating budget and long-term capital forecast, ensuring alignment with organizational strategic goals and financial sustainability.
  • Oversee lifecycle asset management to ensure long-term sustainability of all properties; monitor asset inventories and proactively plan for end-of-life replacements and system upgrades.
  • Identify, prioritize, and recommend capital investments; develop supporting business cases and cost-benefit analyses.
  • Coordinate and oversee renovation, construction, and capital improvement projects, including RFP processes, vendor selection, development of specifications, contract oversight, and project closeout. Create a network of qualified vendors (engineers, architects, general contractors, subcontractors, etc).
  • Monitor project budgets, schedules, and quality; communicate updates to the COO and relevant stakeholders.

Board & Committee Liaison

  • Serve as an advisor to the COO and Facility Committee on facility-related risks, investments, and opportunities; may have board-level reporting responsibilities as determined by the COO.
  • Prepare reports and presentations for Board and committee meetings as needed.
  • Support effective governance by maintaining accurate and current documentation for committee oversight, including asset inventories, deferred maintenance tracking, and capital project status reports.
  • Collaborate with community stakeholders and municipal officials as a primary relationship owner on facility-related matters, in coordination with the Leadership Team.

Environmental Sustainability & Energy Efficiency

  • Lead environmental sustainability and energy-efficiency initiatives as a strategic program across all facilities, including energy reduction, water conservation, waste management, and green operations.
  • Identify, evaluate, and implement sustainable upgrades (e.g., LED lighting, HVAC optimization, solar, pool heating efficiency); develop business cases and manage implementation in coordination with the COO.
  • Establish and track sustainability metrics and program goals; report progress to the COO and, as appropriate, to the Facility Committee.
  • Stay current on best practices, available incentives, grants, and regulatory trends in sustainable facility management; proactively bring recommendations to leadership.

Vendor & Contract Management

  • Identify, vet, and manage relationships with contractors, vendors, and service providers.
  • Solicit bids, negotiate contracts, and ensure work is performed to standards and within budget.
  • Serve as primary point of contact for all facility-related vendors and external partners.

Communication & Collaboration

  • Serve as an advisor to the COO on facility operations, capital investments, and emerging risks; provide regular written and verbal updates on facility status, projects, and priorities.
  • Assist staff with event and meeting setup requests, coordinating facilities needs to ensure spaces are appropriately configured and ready for programming, events, and member activities.
  • Collaborate with program, membership, and operations teams to schedule maintenance with minimal disruption to members and participants.
  • Communicate facility-related updates to staff and members proactively and professionally.
  • Promote and enforce on-the-job safety protocols and use of personal protective equipment (PPE).
  • Model organizational values in all interactions with staff, members, volunteers, and community partners.

Salary & Benefits

This full-time, exempt-level position generally works Monday–Friday during standard business hours, with occasional evening or weekend responsibilities. The Salary range for this position is $90,000 – $110,000 annually, based on experience.
