Job Description

The Administrative Services Director supports efficient, mission-aligned branch operations by providing comprehensive administrative, communication, and organizational support across departments, staff teams, volunteers, and advisory board members. This role manages core administrative systems, coordinates meetings and events, supports financial and annual campaign processes, assists with volunteer engagement, and maintains expertise in key association platforms to ensure accurate and effective workflow. Through strong relationship-building, clear communication, and attention to detail, the Administrative Services Director enhances staff effectiveness, strengthens member and volunteer engagement, and contributes to a well-organized, welcoming, and high-functioning branch environment.

Qualifications
  • Degree in related field preferred and 1+ year of related experience.
  • Passion for building community and fostering meaningful relationships through programs and services.
  • Experience supporting program delivery and staff development in a team-based environment.
  • Ability to coordinate staff, programs, and schedules effectively in a dynamic setting.
  • Strong communication skills, including written, verbal, and public-facing interactions.
  • Demonstrates initiative, sound judgment, and strong organizational and time-management skills.
  • Builds inclusive, mission-driven relationships with youth, families, and community members from diverse backgrounds.
  • Bilingual or multilingual skills preferred, but not required.
Essential Functions

Relationship Building & Communication

  • Models strong relationship-building skills and maintains collaborative, professional communication with staff, members, volunteers, and community partners.
  • Supports strategies that strengthen staff-to-member and member-to-member connections.
  • Serves as a communication conduit between branch leadership, staff teams, members, and advisory board volunteers.
  • Maintains regular, clear, and concise communication within all areas of responsibility.

Administrative & Operational Support

  • Provides administrative support across branch departments, including product setup in association systems and general operational assistance.
  • Maintains expertise in association platforms (e.g., Personify, Basware) and supports staff in their working knowledge of these systems.
  • Manages records, mail, deposits, calendars, and general office operations.Orders and organizes supplies, uniforms, nametags, and program materials.
  • Coordinates logistics for meetings and events, including scheduling, setup, materials, and AV needs.
  • Provides onboarding suppot by preparing welcome materials, directories, and orientation resources for new staff and volunteers.
  • Provides direct service hours at the Welcome Center as part of branch operations.

Board & Committee Support

  • Supports administrative needs of the advisory board and committees, including scheduling, communication, and meeting preparation.
  • Prepares and distributes agendas, minutes, directories, and recognition materials.
  • Manages board calendars and ensures key dates, deliverables, and expectations are met.
  • Acts as a liaison between branch leadership, staff, and board volunteers. 

Annual Campaign Support

  • Supports all business functions of the branch’s Annual Campaign, including logistics, communication, and volunteer coordination.
  • Prepares reports, processes pledges, and maintains accurate data in association systems.
  • Coordinates campaign materials, supplies, events, and training needs.
  • Manages campaign calendars and ensures deadlines and milestones are met.

Volunteer Engagement & Community Outreach

  • Supports volunteer engagement efforts by coordinating recruitment, onboarding, communication, and recognition activities.
  • Manages volunteer rosters and event logistics within the association’s volunteer management platform.
  • Builds and maintains relationships with individuals and organizations to strengthen volunteer pipelines.
  • Ensures volunteer practices align with association guidelines and quality standards.

Financial & Budget Support

  • Assists with budget entry and financial processes, including invoice processing, reconciliations, and audits.
  • Ensures accuracy and compliance in financial documentation and reporting.
  • Supports purchasing processes and maintains organized inventory systems.

Branch Leadership & Additional Responsibilities

  • Serves as part of the branch Director-on-Duty team, supporting opening, closing, and general facility oversight as scheduled.
  • Participates in association task forces, cohorts, and quality teams as needed.
  • Performs other duties as assigned to support branch operations and association priorities.
