Job Description

The Controller is a pivotal leadership position within the Association, responsible for overseeing the financial matters of the Greater Austin YMCA in a manner that helps ensure the Association fulfills its mission while meeting its fiduciary obligations. Reporting directly to the Associate Chief Financial & Administrative Officer, this role is responsible for all accounting operations including day-to-day accounting functions, supervision of accounts payable and accountant positions, maintenance of an accurate system of accounting records, and a comprehensive set of controls designed to mitigate risk, enhance the accuracy of the association’s reported financial results, and ensure that reported results comply with generally accepted accounting principles. Further, the Controller will lead the annual financial audit process from start to finish.

Qualifications

In this role, you are highly organized and focused on timeliness, accuracy, and improving financial processes. You have the ability to communicate effectively and follow-up with leaders, managers, and staff teams to ensure effective production of financial information.   

  • Maintain official financial records of the Association to meet legal and Association requirements.  
  • Reviews, updates, and/or develops internal control systems for the YMCA’s financial processes, ensuring both appropriate design and actual effectiveness of the controls.
  • Ensures accurate and timely monthly, quarterly, and year-end close in accordance with current accounting standards and best practices in non-profit accounting.
  • Prepares and/or reviews accounting entries as necessary.
  • Oversees monthly reconciliations for all accounts including bank, investments, payroll (ADP), membership & programs (Daxko, EZChildTrack, Lillio, etc), and development (Raiser’s Edge).
  • Oversees governmental reporting and other internal/external reports to ensure compliance with local, state, and federal reporting requirements.
  • Oversees compliance with procurement and lease processes.
  • Oversees the annual financial audit by independent accounting firm, including periodic updates throughout the year to keep them informed of changes in the Association.
  • Oversees the timely preparation of Form 990 and other tax returns.
  • Monitors all banking and financing agreements and processes, including bank covenant reporting.  
  • Ensures security compliance with PCI (credit card processing).
  • Assist with cash management and forecasting.
  • Manages systems and processes related to contracts, vendor relationships, and documentation.
  • Develops and maintains measurement systems and reporting for financial key performance indicators and strategic plan objectives.
  • Assist the Associate Chief Financial & Administrative Officer with the evaluation of current business models and efforts to modify or redesign business models where necessary.
  • Supports with preparation for monthly Finance committee meetings.
  • Hold the finance team accountable for achieving at high levels to meet strategic goals and objectives.
  • Responsible for developing and meeting Strategic Plan metrics and Association & Department goals.
  • Implements a goal-based leadership approach and ensures the finance department is actively working towards supporting organizational-level objectives and key results.

  • Responsible for hiring, coaching, and managing all direct reports and ensuring alignment with association people practices for all positions within their organizational structure.
  • Conduct cycle Check-ins and the Annual Check-In with direct reports to ensure progress with goals, provide ongoing coaching and feedback, and discuss development opportunities.
  • Other duties as assigned. 
Essential Functions
  • You have a bachelor’s degree or equivalent experience
  • Minimum 7 years of progressive responsibility in accounting and financial management, including staff management
  • CPA required
  • Possess strong knowledge and understanding of accounting, budgeting, and cost control principles, including generally accepted accounting principles, financial and accounting reporting systems, and federal and state financial regulations. Additionally, you have expertise in general business matters, including budget development, financial reporting, cash management, business taxes, banking, and debt financing instruments.  
  • Ability to motivate teams to produce quality materials within tight timeframes and simultaneously manage several projects.
  • Knowledge of industry regulatory standards and compliance requirements and YMCA policies and procedures.  
  • Strong strategic management and planning skills; strong communication skills needed to interface with a variety of stakeholders; ability to use own judgment and initiative in problem resolution.
  • Proven leadership ability with experience in team management and collaboration.  
  • Strong analytical, communication, and presentation skills.
