Job Description

Position Summary:

General Accounting tasks, Independent Contractors, Contracts/Agreements, Insurance, Leases and Risk Management Coordinator.

Qualifications
  • Bachelors in accounting or other related field (completed or in-process). Experience can substitute for a degree.
  • Minimum of 2 years related experience preferred.
  • General understanding of accounting, payroll functions, office systems, contracts/agreements, risk management preferred or ability to learn required.
  • Strong knowledge of MS Office products including Excel, Word, and Outlook.
  • Detail-oriented and the ability to handle multiple tasks; ability to prioritize work schedule to meet daily deadlines; excellent organizational and interpersonal skills.
  • Criminal Clearance: Including Fingerprints and background clearance.
  • Negative TB Test.
  • Must attend a new employee orientation within the first 90 days of employment.
Essential Functions
  • General Accounting: Verify documentation and post journal entries, reconcile assigned general ledger accounts, manage petty cash and cash advance accounts, receipt payments into operating system for the Metro office, assist with annual audits and complete other on-going accounting duties as assigned.
  • Supports the A/P Accountant: Inputs, processes, and researches the payables in the A/P computer system and verifies the documentation provided. Maintain accounts payable files for the purpose of providing an up-to-date audit trail.
  • Supports the Payroll Accountant: Entry into Dayforce and payroll processing backup.
  • Supports the Metro Annual Campaign: Enter donor information, process payments, letters and letters, and other campaign-related duties as needed.
  • Association Amazon Account: Manage user access, record invoices into accounting system, and follow up with staff as needed.
  • Leases/Vendors: Coordinate, process and maintain files for Association leases, fixed assets, A/P approved vendors, and W-9’s.
  • Contracts/Agreements: Coordinate, review, process and track independent contractor agreements, facility use agreements, general Association contracts, incident/accident reports, CPS reports, licensing visits, etc. Monitor expiring contractor/agreements insurance certificates, request renewals and assist branches as needed. Mediation with vendors to assist in procuring necessary documents.
  • Risk Management: Track and manage branch completion documents for safety/risk management topics, aquatics safety requirements, and association facility inspections. Follow up on missing documentation and send reports to branches. Perform periodic audits of risk management department compliance. Backup to HR for monthly Raptor reports.
  • Association Insurance and Vehicles: File, track and request insurance certificates and policy changes as needed and serve as the point person for certificate requests. Maintain vehicle list and coordinate DMV registrations and auto insurance cards. Monitor driver list to keep current.
  • Association Clusters: Support the clusters through coordinating the meeting schedules, calendars, logistics, and food ordering.
  • Daxko Support: Run reports and collect data as needed and summarize benchmarking performances.
  • Association Electronic Files and Calendar: Maintain the organization of the electronic filing system and increase accessibility through growing system. Assist with the Association calendar monitoring and administration. Monitor and respond to the risk management general email account.
  • Greet and answer phone calls at the Association office.
  • Assist with vendor and employee concerns, interfacing with all levels of branch staff.
  • Assist with other department functions and Metro/Association special projects as needed.
  • Attend all staff meetings, trainings and other YMCA functions as required by Supervisor.
  • Maintain open lines of communication with participants, staff, and supervisor.
