Job Description
Under the direction of the Program Director, the Program Coordinator assists in the planning, development, execution, and administration of various enrichment programs with focus on Special Needs Programing, Scouting Programs (i.e.: Adventure Guides), and Birthday Parties. The Program Coordinator provides direct supervision to assigned program staff and instructors. The Program Coordinator builds relationships with community partners, volunteers, and program participants, drives awareness and participation in community convening programs, and seeks to provide new and innovative programming to people of all ages.
Qualifications
- High school diploma / GED required. Bachelor’s Degree in Special Education, Social Work, or related field is preferred.
- At least 1 year of experience working in a youth-serving program such as summer camp, SACC, early education, sports, etc.
- Current CPR/AED and First Aid certification or obtain within 30 days of hire.
- Blood-borne Pathogens, Child Abuse Prevention, Sexual Harassment and other program-specific courses within 30 days of hire.
- Ability to complete successfully fingerprinting (CHRI) and child abuse prevention check (CARI) as mandated by the state of New Jersey.
- Superior leadership, interpersonal skills, and the ability to work well with staff and interact with membership.
- Must have flexibility in schedule with expectations to work some evenings and some weekends.
- Excellent organizational, member engagement, staff development, administrative and communication skills.
- Has solid working knowledge of Microsoft Word/Excel as well as good administrative skills.
Essential Functions
- Assist in adding departmental revenue by expanding existing programs and creating/implementing new innovative programs that promote retention of existing members and engage new members.
- Ensures the delivery of high quality, safe, and educational programming in a nurturing environment focusing specifically on YMCA's Core Values.
- Assist in all program administration, including staff supervision, hiring, onboarding, and training. Provide continuous support and feedback.
- Establishes and sustains positive relationships with community partners, volunteers, program participants, their families, and prospective members.
- Assist in the budget creation process for assigned areas. Monitors expenses and revenue with supervisor.
- Responds to member and community inquires and complaints in a timely manner.
- Assists with programs and events beyond scope of direct programming and other tasks/duties as assigned.
Special Needs Programming
- Serves as the Y’s Special Needs ‘Ambassador’ to the community and other key organizations. Identifies and seeks new opportunities for forming collaborations and offering programs and support services. Works closely with these community partners that serve the special needs population to ensure that efforts are not duplicated and to identify and maximize on synergies between programs.
- Oversee, manage, and grow existing Special Needs programs including Adaptive Fitness, Jazz Hop, Musical Me, Carousel Kids, Swim, Inclusion Programs for Summer Camp, and Saturdays in Motion.
- Creatively implements new programs and initiatives that cater to the special needs population.
- Identify and research funding sources for Special Needs initiatives. Works with Development department to make recommendations for grant applications.
Scouting Programs (Adventure Guides)
- Coordinate all aspects of the Adventure Guides program including booking trips, purchasing supplies, and recruitment events.
- Provide general administrative support to Adventure Guide program and event registration including creating and maintaining a participant database, developing uniform registration form and process, and copying and distributing flyers.
- Develop value add programs and appreciation initiatives for the Adventure Guides program that honor their commitment and participation with the Y.
- Through intentional relationship building, partner with local boy/girl scout groups to provide engagement initiatives, volunteer projects, and badge programs.
- Serves as main point of contact for the Adventure Guides program and its participants.
Summer Camp
- Serves as the Special Needs Camp Coordinator during the 10-week camp season.
- Coordinates, develops and expands upon a variety of special needs camp programs to include but not limited to Carousel Kids, Inclusion Campers, and Camp Dragonfly.
- Assists with the development of a curriculum for the summer special needs camps and assist in supervision of camp staff and participate in daily camp activities.
- Assists in training staff for summer camp.
- Assists in developing schedule of daily activities, session themes, and field trips.
- Assists with development of camp brochure, registration, and schedules.
- Provides communication to all participants and parents of the special needs camp via weekly schedules, newsletters, and daily updates.
Birthday Parties
- Coordinates all birthday party efforts from intake through fruition.
- Works with participants to schedule dates, collect payment, and ensure they have a safe and enjoyable event.
- Coordinates staffing for all events, orders supplies and other needs for each party.
- Provides communication to all participants and staff such as scheduling, updates, and changes.
- Assist in training and onboarding staff. Ensures quality programming and participant satisfaction.
OTHER DUTIES
- Demonstrates the ability to establish and maintain appropriate professional relationships, interpersonal skills to interact effectively with individuals and groups regarding social and cultural diversity and the competency and flexibility to carry out job responsibilities as assigned.
- Assists in creating new programs and bringing new ideas to support program growth and development.
- Partner with Program Director to work towards achieving YMCA annual campaign department goals
- Responsible for complying with all Greater Somerset County YMCA Policies and Procedures.
- Adheres and incorporates the YMCA values of caring, honesty, respect, and responsibility and educates members about the YMCA mission and goals.
- Responsible for promoting programs, including developing program information for YMCA website, programming guide, social media, etc.
- Assist with collaborating and building relationships within branch, association, and community organizations, in accordance with strategic and operating plans.
- Perform all other duties as assigned.
- Actively participate in trainings, seminars, special events, and meetings as required.
