How you will contribute to our Purpose:

Group events and engagements create touchpoints for the YMCA’s staff and the association’s mission by connecting people to their potential, purpose, and each other. The Director of Group Sales and Events will lead the YMCA’s strategic use of special events to further the association’s goals in community engagement, staff participation, and facilities stewardship. You will design and implement a group sales program that prominently positions the Y’s membership products, programs, facilities, and services to our community members and to businesses. You will represent the YMCA, its mission, and its Community Centers throughout Austin, working in tandem with the Advancement and Operations team to grow relationships and serve our communities. Your work enables the mission of the YMCA through directly providing revenues that will fund our programs and services.

You will also support the enterprise’s commitment to diversity, equity, inclusion, and belonging (DEIB) and the core character values of the YMCA.

Salary: $75,000 - $80,000 commensurate with experience

Qualifications

What you bring to the Purpose:

  • Education: Bachelor’s Degree with concentrated study in Marketing, Tourism/Hospitality, Sports/Entertainment Management, or similar field. Related experience may be substituted on a year-for-year basis up to four (4) years.
  • Experience:
    • Four (4) years of experience in group sales and event management.
    • Demonstrated success in leading events operations, including mastery of event production, ability to teach others on best practices in operating basic audio/visual equipment, computer presentations, room settings (tables, chairs, linens, etc.), lighting, and décor.
    • Demonstrated success in building group sales programs with a mix of products and services that resulted in a track record of revenue growth.
    • Deep understanding of setting indoor and outdoor environments using audio, lighting, and visuals.
    • Ability to lead internal and external creative and technical teams with a spirit of collaboration.
    • Ability to proactively address challenges by identifying solutions and communicating effectively to stakeholders
    • Attention to detail and strong organizational skills; ability to manage multiple projects and meet established deadlines
    • High proficiency in project management, organization, and production.
    • High proficiency in Microsoft Office with advanced skills in Word, Excel, PowerPoint, and Outlook.
    • Must be able to work a flexible schedule when needed (Nights/Weekends/Holidays) and work both indoors and outdoors in varying weather conditions

What are the details?

Revenue Generation (50%)

  • Lead the development of a revenue plan for the YMCA’s group sales and events strategy, considering the full mix of products, services, and programs that the Y provides to the community.
  • Collaborate with the Sr. Director of Marketing to create an annual marketing plan with targeted and measurable tactics that provide solutions for cultivating outbound sales and deliver in-bound sales leads. Oversee the development of sales material such as printed collateral, presentations, website content, and social media.
  • Provide leadership to the group sales and event staff and vendors, providing sales training and guidance to ensure successful delivery of revenue goals.
  • Assess market data, competition, and emerging products to create recommendations for new revenue products and services; partner with the Operations and Advancement group to develop pilot programs and services.
  • Partner with the Advancement team to identify opportunities for revenue growth, such as event and program sponsorships, corporate sales, and private events.
  • Lead efforts to develop corporate membership programs and collaborate with Chief Advancement Officer to develop corporate strategic partnerships.
  • Ensure that the Association keeps accurate and timely records of billing for products and services, working with the Finance group to ensure client billing is detailed and current.

Client Services (25%)

  • Meet with current and prospective group sales and events clients to understand their goals then provide proposals with potential solutions that the Y can offer.
  • Provide regular written, verbal, and in-person communication with clients, keeping them engaged with the Association and informed of YMCA services and news.
  • Serve internal clients on Association event production, providing coordination for staff events, Advancement events, and Community Relations events.
  • Maintain detailed files, notes, records, and trace systems to ensure the meeting and event experience meets the client's expectations.
  • Ensure all Association events, either internal or external, are executed to the YMCA’s specifications and standards.
  • Perform other duties as assigned.

Experience Development & Execution (25%)

  • Develop an annual operating budget, revenue targets, and capital expense plan in order to grow the Association’s group sales program.
  • Oversee and ensure excellence in the production of multiple events including but not limited to; association events, engagement events, marketing activations, press events, private events, and client activations.
  • Lead a cross-departmental effort to produce private and special events, convening groups from across the organization to plan and execute complex activities with internal and external resources.
  • Develop and implement innovative solutions that elevate brand and experience at all in-house, community, and third-party events.
  • Conduct event production, including setting up basic audio/visual equipment, computer presentations, room settings (tables, chairs, linens, etc.), lighting, and décor.
